Position Overview:
We are seeking a dedicated and detail-oriented professional to join our team in a remote position, supporting a variety of clients across different industries. As a key team member, you will work closely with the Director of Business Operations to ensure clients receive top-notch administrative assistance and support. Your role will involve managing communications, scheduling, and organizational tasks, allowing clients to focus on what matters most—their business.
Location: Remote (Candidates based in Florida, Maine, Ohio, or Texas preferred)
Reporting to: Director of Business Operations
Key Responsibilities:
Provide support to the Director of Business Operations, assisting with tasks as needed
Collaborate with clients to manage professional and personal needs
Maintain and strengthen client relationships while optimizing internal processes that support both clients and the company
Facilitate communication between client leadership teams and employees, ensuring smooth coordination on projects and tasks
Plan and organize workflows to ensure clients' priorities are met, business objectives are achieved, and best practices are followed
Daily and Ongoing Responsibilities (based on client needs):
Manage both professional and personal tasks for clients
Track time and maintain accurate records in the timekeeping system
Oversee complex scheduling, including calendar management and content flow to clients' senior executives
Coordinate and manage client travel arrangements, including booking hotels, transportation, and meals
Provide administrative support, such as preparing documents, creating spreadsheets, and managing filing systems
Maintain strict confidentiality and professionalism while working with sensitive information
Organize and manage client communications, ensuring timely and effective responses
Answer phones and relay messages for clients
Plan and coordinate client events and activities
Respond to client requests promptly, within 4 business hours
Prioritize tasks and manage multiple projects efficiently
Perform any other tasks as required
Skills and Qualifications:
Minimum of 4 years of experience in an administrative role, supporting senior management
Experience in real estate or real estate broker support is a plus
Excellent written and verbal communication skills
Strong organizational skills with the ability to manage multiple projects and deadlines
Proficient in Microsoft Office and other office productivity tools, with a willingness to learn new software systems
A flexible, team-oriented mindset, with a willingness to take on new challenges and responsibilities
Ability to handle confidential information with discretion and professionalism
Strong initiative, self-motivation, and a proactive approach to tasks
Professional phone presence with the ability to interact confidently with clients and executives
Availability to respond to urgent requests as needed
Preferred Qualifications:
Experience developing internal processes and filing systems
An Associate's degree or higher in Administration or a related field, or equivalent experience
Familiarity with CRM systems (e.g., Active Campaign, Zoho, Pipedrive, etc.)
