Job Description

Project Administrative Assistant Location Vancouver, WA (Fircrest area) :

We are a well-established commercial and residential access hardware business with a strong presence throughout the northwest, currently seeking an experienced Project Administrative Assistant to provide support for our commercial project office. A background in commercial hardware, door / access hardware applications would be valued, however, field and administration experience in general construction or other like fields will be strongly considered.

Responsibilities May Include (but are not limited to):

  • Work with Project Admin Coordinator to assist project managers, crew leads and crew members as directed.
  • Work with the Project Team and Dispatch by answering phones/emails, and service call scheduling.
  • Assist in preparing estimates and bid proposals, submittals and contract documents as directed.
  • Assist in material and inventory needs for commercial jobs. Prepare purchase orders, work orders and other related documents.
  • Assist in setting up and maintaining both virtual (server) and physical job files during the life of the project and appropriately archiving upon completion and close.
  • Assist with client / job scheduling and communication.
  • Work with the accounting department as overlap requires (payroll hours reporting, billing information, shared resource reporting, purchasing reconciliation, etc.).
  • Work with our dispatch team as overlap requires (answering phones, emails, scheduling and coordinating with technicians).

  • Computer skills that include Microsoft365 office suite products and familiarity with other forms of business software (Quickbooks and dispatching software a plus).

Must Have:

  • A clear criminal background and DOL / DMV record.
  • The ability to pass drug and alcohol screening on request.
  • Must be dependable, flexible and possess a friendly demeanor.

Education:

  • High school or equivalent (Required)

Experience:

  • Project related: 2 years (Preferred)

M-F Hours -- 8-5
